Fund Administration – Administrative Assistant
We are looking for a proactive, autonomous, and dynamic administrative assistant to join our fund administration team. You will be at the heart of our operations, ensuring seamless management of key tasks that directly impact the efficiency and success of our client portfolios. In this role, you will be entrusted with responsibilities that require strong organizational skills, a keen eye for detail, and the ability to work independently. Your work will be crucial in ensuring smooth processes and regulatory compliance while supporting our clients’ needs.
Key Responsibilities:
Payment & Banking Operations
- Oversee client bank account management, from opening accounts to filling out bank powers and access forms.
- Handle payment instructions on behalf of clients, ensuring all payments are processed efficiently and accurately.
- Proactively assist in the billing process, following up on pending payments, sending reminders to clients, and maintaining proper documentation of invoices.
Client & Team Support
- Proactively reply to client inquiries, providing solutions and assistance with a high degree of autonomy.
- Ensure smooth communication between clients and internal teams, facilitating effective information flow and collaboration.
- Support the team in the daily operations of the funds, ensuring everything runs smoothly.
- Maintain up-to-date records for both internal use and client reporting, ensuring that our data remains accurate and accessible.
- Assist with various administrative tasks related to client portfolios.
- Take charge of organizing both internal and external meetings, helping to streamline communication across stakeholders.
Your Profile:
- A strong sense of autonomy and the ability take initiative in solving problems and managing tasks independently.
- A dynamic and proactive approach, with the ability to handle multiple priorities and work in a fast-paced environment.
- Exceptional organizational skills, attention to detail, and the capacity to manage confidential information.
- Strong communication skills to collaborate effectively with clients, investors, and team members.
- The ability to work well with colleagues and contribute positively to a team environment, while also managing individual responsibilities.
- Previous experience in fund administration, financial services, or a similar environment is highly desirable.
- You speak fluently French and English.
- You are familiar with Word, Excel etc.
- Familiarity with Luxembourg regulations is a plus.
