Main Responsibilities
Coordinate meetings and workshops across different project teams.
Maintain project calendars, monitor deadlines, and follow up on pending actions.
Support the monitoring of activities, timelines, and milestones for over 30 active projects.
Gather input from stakeholders and keep records updated in SharePoint or other collaboration tools.
Draft and maintain governance documents, meeting notes, and status reports.
Assist in preparing presentations, reports, and documentation for steering committees and audits.
Track submission of deliverables and ensure compliance with internal procedures and timelines.
Provide day-to-day administrative support to officers and the Head of Unit.
Manage filing systems, version control, and document archives.
Profile and Qualifications
Completed secondary education (high school diploma or equivalent).
Minimum 3 years of experience in an administrative, coordination, or support role (internships included).
Good command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with SharePoint or willingness to learn.
Experience in project management or data management is considered an asset.
Excellent written and spoken English; knowledge of other EU languages is an advantage.
